Refund and Cancellation Policy

Effective: May 13, 2026

This Refund and Cancellation Policy is part of our Terms of Service and explains how cancellations, reschedules, and refunds work for BlackBox Media (Think Big Marketing, LLC) bookings.

Mini Sessions and Short-Format Bookings

Mini sessions are short-format bookings (typically 5 to 30 minutes) paid in full at the time of booking. The following applies:

  • 7 or more days before the session: Full refund.
  • 3 to 7 days before the session: 50% refund.
  • Less than 72 hours before the session: No refund.
  • Rescheduling: Free if requested at least 48 hours in advance, subject to availability. Within 48 hours, reschedule requests are treated as cancellations under the schedule above.

Portrait, Headshot, and Single-Athlete Sessions

  • More than 14 days before the session: Full refund less any non-recoverable third-party costs (location fees, prop builds, etc.).
  • 7 to 14 days before the session: 50% refund.
  • Less than 7 days before the session: No refund. A one-time courtesy reschedule may be granted at our discretion.

Weddings, QuinceaƱeras, and Full-Day Events

Full-day event bookings require a non-refundable retainer (typically 50% of the total package fee) to reserve the date. The retainer compensates us for declining other work for that date.

  • More than 60 days before the event: Retainer is non-refundable but may be credited toward a rebooking within 12 months, subject to availability.
  • 30 to 60 days before the event: Retainer is forfeited; additional amounts paid above the retainer are refundable.
  • Less than 30 days before the event: No refund of any amount paid.
  • Rescheduling: One free reschedule allowed with at least 30 days’ notice, subject to date availability.

Weather, Illness, and Force Majeure

Sessions affected by severe weather, photographer illness, or other circumstances beyond reasonable control will be rescheduled at no additional cost. These reschedules do not count against the policies above.

Cancellation by BlackBox Media

If we must cancel a confirmed booking for reasons within our control, you will receive either a full refund of all amounts paid, or a complimentary reschedule to a comparable date, at your option.

Print Orders

  • Digital downloads: Non-refundable once delivered.
  • Physical prints: Inspected at delivery. Damaged or defective prints will be replaced at no cost within 14 days of receipt. Print orders cannot be returned for non-defect reasons (color preference, ordering wrong size, etc.) because they are made-to-order.
  • Order cancellation before production: Full refund within 24 hours of placing the order, before production begins.

How to Request a Refund or Reschedule

Send an email to juan@blackbox-media.com with your booking confirmation, the date of your session, and a brief reason for the request. We respond to refund and reschedule requests within 2 business days. Approved refunds are issued through the original payment method and typically appear within 5-10 business days.

Disputes and Chargebacks

If you believe there has been an error with a charge or refund, please contact us first at juan@blackbox-media.com. We resolve the vast majority of issues directly and quickly. Filing a chargeback without first attempting to resolve the issue may result in loss of access to future bookings.
